Health & Safety focuses on document management

The Health and Safety Executive (HSE) is improving its information management practices as part of a major IT refresh, using new electronic document and records management (EDRM) software.
The deployment of a TRIM Context 6 EDRM system from Tower Software to 3,400 users across 28 office locations will form part of a 10-year outsourcing agreement with LogicaCMG.
The project will also simultaneously undertake an enterprise migration to Microsoft Office 2003 and Outlook that will encompass all text-based files, including email.
Richard Lewis, HSE head of information management said the project has been driven by a desire to manage information better across the organisation - which, in conjunction with local government, is the enforcing authority that works in support of the Health and Safety Commission responsible health and safety regulation in the UK.
Lewis said: "The rising popularity of desktop tools has led us further away from print and a traditional records management culture. As a consequence, information silos had started to appear."
The EDRM software will allow users to find the information they are looking for more easily. "It will help us derive intelligence [from the information] and also handle the large volume of incoming FoI [Freedom of Information Act] enquiries we receive," he said.
The system is already in use by around 3,000 users at HSE's headquarters locations in London and Bootle and in field offices across the UK. The roll out to a total of 29 sites is scheduled for completion next month.
